🟦Position Objective
General Affairs Officer in the educational field is contributing to the seamless functioning of administrative operations. Dedicated to fostering a conducive and organised environment for the UIA community.
General Affairs Office aims to streamline processes, manage facilities efficiently, and ensure compliance with regulatory requirements. By implementing strategic initiatives and optimising resource utilisation, the goal is to enhance the overall operational effectiveness of the educational institution, thereby supporting its mission of providing a high-quality learning experience.
We are currently seeking someone who is able to thrive in an international environment and is able to manage every aspect of the employee lifecycle including the following:
🟦Responsibilities
The job holder’s responsibility for promoting and safeguarding the welfare of children and young persons for whom s/he is responsible, or with whom s/he comes into contact will be to adhere to and ensure compliance with the relevant UIA; Child Protection Policy and Procedures at all times. If in the course of carrying out the duties of the role, the job holder identifies any instance that a child is suffering or likely to suffer significant harm either at school or at home, s/he must report any concerns to the School’s Child Protection Officer/Designated Safeguarding Lead or to the Head of indeed to the Regional CEP so that a referral can be made accordingly to the relevant third part services.
- Manage day-to-day administrative and operational tasks within the school, ensuring smooth functioning of facilities and services.
- Assist and coordinate in the management of the UIA bus service
- Act as a liaison between different departments, assisting in communication and coordination across diverse teams.
- Oversee facility maintenance, including managing contracts with external vendors and ensuring compliance with safety standards.
- Support HR functions, such as onboarding/offboarding processes, documentation, and employee relations.
- Translate documents, communications, and information from English to Japanese and vice versa as needed.
- Assist in organising school events, meetings, and activities, facilitating a seamless experience for staff, students, and parents.

🟦Requirements
- Bachelor Degree from a recognised university in a related field
- Fluency in English and Japanese(written and spoken) is essential.
- Can work cooperatively as a member of an international team
- Willingness to take on tasks outside their immediate jurisdiction
- Business level English and Japanese (is able to read/write/communicate in both languages with minimal issue)
- Previous experience in general affairs, administration, or a related field within an educational or multicultural setting is preferred.
- Strong organisational skills with the ability to multitask and prioritise effectively.
- Excellent communication and interpersonal abilities to interact with a diverse range of stakeholders.
- Proficiency in Google platform and familiarity with administrative software.
- Possesses excellent business communication skills in international environment
- Flexibility and adaptability to respond to changing circumstances

- 1-3 years Administrative experience preferred
- Confident in the use of technology
